1. “Exhibitor” refers to an individual, company, institution, or organization that has submitted an application form and paid the deposit to participate in the exhibition.
2. “Exhibition” refers to the 2025 Busan International Medical Tourism Convention.
3. “Organizer” refers to the Secretariat of the 2025 Busan International Medical Tourism Convention, operated by Foryou Communications Co., Ltd.
1. Exhibitors who wish to participate in the exhibition are required to submit their application through the official website.
2. Exhibitors are required to pay 50% of the participation fee within 7 business days after submitting the application form, and the remaining 50% must be paid by the deadline specified in the application form. However, the Organizer reserves the right to reject the application if the exhibition space is fully booked or if the proposed exhibits are deemed unsuitable for the event.
3. All payments must be made through the Organizer.
The Organizer shall allocate booth spaces based on the order of deposit payment, scale of participation, and the nature of exhibits. However, booth locations may be adjusted by the Organizer for optimal spatial arrangement, visitor flow, and overall exhibition effectiveness. Exhibitors shall not object to the assigned booth location.
2. In the event of unavoidable circumstances, the Organizer reserves the right to change the location or size of the allocated booth space prior to the installation of fixtures. Exhibitors shall not raise objections or claim compensation in such cases.
1. Exhibitors shall display only the items listed in the application form and must assign staff to manage their booths appropriately.
2. If an exhibitor displays items not listed in the application form or items that are deemed unsuitable for the exhibition, the Organizer may immediately order the suspension, removal, or withdrawal of such items. In this case, the participation fee will not be refunded, and the exhibitor shall not claim any compensation.
3. The Organizer may restrict certain individuals from accessing the exhibition hall if necessary.
4. Exhibitors may not transfer all or part of their assigned booth space to a third party without prior written consent from the Organizer.
5. Exhibitors are not permitted to conduct any sales activities outside the space authorized by the Organizer.
6. For the purpose of maintaining order, ensuring safety, and preventing socially inappropriate conduct, the Organizer reserves the right to selectively exclude or restrict certain exhibits or exhibit activities.
7. The Organizer may order the removal of any exhibit that infringes on intellectual property rights.
8. If an exhibitor displays or sells unauthorized items without prior approval from the Organizer, the Organizer may cancel the exhibitor’s participation. In such cases, the exhibitor may not raise any objections.
1. Exhibitors must pay 50% of the participation fee to the Organizer within 7 business days after submitting the application form, and the remaining 50% must be paid by the deadline specified in the application form.
2. If the exhibitor fails to pay the full amount or the remaining balance by the specified deadlines, the Organizer may terminate the participation agreement. In such cases, the exhibitor may not claim a refund of any fees already paid.
1. If the Exhibitor cancels or refuses to use all or part of the reserved booth space, or fails to pay the participation fee by the specified deadline, the Organizer may unilaterally terminate the application. In such cases, any participation fees already paid will not be refunded.
2. If the Exhibitor cancels participation after submitting the application form, the Exhibitor shall pay a cancellation penalty as outlined below within 15 days of submitting the cancellation request. (Any previously paid fees will be deducted from the penalty amount. If the paid amount is insufficient, the Exhibitor must pay the difference; if there is a surplus, the Organizer will refund the excess.)
Before August 4, 2025 : Payment of 50% of the participation fee
From August 4 to August 8, 2025 : Payment of 80% of the participation fee
After August 8, 2025 : Payment of 100% of the participation fee
1. If the Organizer changes, reduces, or cancels the date or venue of the exhibition due to force majeure—such as a national crisis, epidemic, natural disaster, or other exceptional circumstances beyond the Organizer’s control—the Exhibitor shall not be entitled to claim any compensation related to the application for participation. The Organizer may also change the duration or opening hours of the exhibition if deemed necessary. No compensation shall be provided for any damage or loss resulting from such changes, and the Exhibitor may not cancel the participation agreement for these reasons.
1. Exhibitors must complete the installation and display of exhibits within their assigned booth space during the designated period. Exhibitors shall not paint, attach stickers, or otherwise alter or damage the floor, ceiling, pillars, area, or booths within the exhibition space. Any damage to the venue must be restored to its original condition, and the Exhibitor shall compensate the Organizer for any resulting loss.
1. The Organizer may photograph or record all events, booths, and exhibits within the exhibition venue for promotional media purposes.
2. The Organizer may edit or upload such photos and videos for promotional use.
1. Exhibitors are not permitted to remove exhibits before the official closing of the exhibition.
2. Exhibitors must remove all exhibits and installations within the designated period. If removal is delayed, the Exhibitor shall immediately pay the Organizer for any related costs incurred.
1. Exhibitors must obtain appropriate insurance coverage to protect against theft, damage, or loss of all facilities and exhibits during the exhibition period, including installation and dismantling periods.
2. While the Host/Organizer will take appropriate security measures to protect the safety and property of exhibitors and visitors, ultimate responsibility for all items belonging to the exhibitor rests with the exhibitor. The Organizer shall not be held liable for any theft, damage, or loss.
1. All materials used for structures and within the exhibition hall must be properly fireproofed in accordance with fire safety regulations. Any tampering with the certification labels on flame-retardant materials is strictly prohibited.
2. The Organizer may request corrective actions related to fire prevention from exhibitors as necessary.
1. If necessary, the Organizer may establish supplementary regulations not specified in these participation terms, and exhibitors must comply accordingly.
2. Exhibitors must comply with both the participation regulations of the “2025 Busan International Medical Tourism Convention” and the venue’s regulations.
1. In the event of any disagreement between the Host and the Exhibitor regarding the interpretation of these participation regulations, the interpretation of the Host shall prevail. All disputes shall be settled by arbitration under the Korean Commercial Arbitration Board, and no legal proceedings may be brought against the decision.
